Electronic Filing

Jurnal Computech & Bisnis (JCB), published by STMIK Mardira Indonesia, uses electronic systems to manage manuscript submissions, peer review, editorial decisions, publication preparation, and scholarly communication. Electronic filing supports the journal’s commitment to efficient editorial administration, confidentiality, accountability, and the accurate management of publication records.

The journal uses its Open Journal Systems (OJS) platform as the primary system for manuscript submission and editorial workflow management. Relevant documents and records are maintained electronically in accordance with the journal’s operational procedures and applicable institutional requirements.

1. Scope of Electronic Records

Electronic records maintained by JCB may include, as applicable:

  1. Submitted manuscripts and revised manuscript versions.
  2. Supplementary files, research materials, and supporting documents provided by authors.
  3. Peer-review reports and reviewer recommendations.
  4. Editorial decisions and related correspondence.
  5. Author responses to reviewer comments and revision records.
  6. Publication-ready manuscripts, proofs, and final article files.
  7. Article metadata, publication information, and related editorial records.
  8. Declarations concerning authorship, conflicts of interest, funding, research ethics, and other publication requirements.
  9. Similarity-screening reports and other editorial assessment records, where applicable.
  10. Records of corrections, expressions of concern, retractions, and other post-publication actions.

The journal retains records relevant to its editorial and publication responsibilities while taking into account confidentiality, data protection, copyright, and applicable institutional requirements.

2. Electronic Submission and Editorial Workflow

Authors are expected to submit manuscripts through the journal’s official OJS platform, following the submission instructions and requirements published on the JCB website.

The editorial workflow is managed electronically to support the tracking of submissions, communication with authors and reviewers, recording of editorial decisions, and preparation of accepted manuscripts for publication.

Authors should ensure that submitted files are complete, accurate, readable, and consistent with the journal’s Author Guidelines. Where corrections or additional documents are requested, authors should provide the required materials through the designated submission or communication channel.

The editorial team is responsible for maintaining appropriate records of significant decisions and communications throughout the manuscript-handling process.

3. Document Storage and Record Management

JCB maintains electronic records of manuscripts and related editorial documents using the journal’s designated systems and storage arrangements.

Documents should be organized and retained in a manner that supports retrieval, traceability, and continuity of editorial operations. Access to non-public records is restricted to authorized individuals who require the information to perform their editorial, review, administrative, or technical responsibilities.

The journal may use institutional storage services or other approved electronic storage facilities to support its record-management procedures, provided that their use is consistent with applicable confidentiality, security, and data-protection requirements.

The journal’s OJS platform remains the primary system for recording and managing the editorial workflow. Any supplementary storage arrangement should support, rather than replace or undermine, the journal’s official editorial records.

4. Confidentiality and Access Control

JCB recognizes that manuscripts under review, reviewer reports, editorial correspondence, and other non-public materials are confidential.

The journal will take reasonable measures to ensure that electronic records are accessible only to authorized individuals. Such measures may include role-based access permissions, appropriate account management, and secure handling of files and communications, depending on the capabilities of the systems used.

Editors, reviewers, journal staff, and other authorized individuals must not disclose confidential manuscript information or use unpublished materials for personal, professional, or commercial advantage.

Access to electronic records must be consistent with the journal’s Peer Review Policy, Conflict of Interest Policy, Publication Ethics Policy, and applicable institutional requirements.

5. File Integrity and Version Control

The journal seeks to maintain clear records of manuscript versions and significant changes made during editorial processing.

Revised manuscripts, editorial decisions, reviewer reports, and final publication files should be distinguishable from one another to reduce the risk of confusion or accidental replacement.

Before publication, the editorial team should verify that the final article file corresponds to the approved version and that the article’s title, authorship information, affiliations, references, and other publication metadata are accurate to the extent reasonably possible.

Where an article requires a correction or retraction after publication, the journal will follow its Correction and Retraction Policy and maintain appropriate links or records documenting the relevant action.

6. Data Security and Backup

JCB recognizes the importance of protecting electronic records against unauthorized access, accidental loss, corruption, and other operational risks.

The journal will manage electronic records in accordance with the capabilities of its publishing platform, approved storage arrangements, and applicable institutional procedures. Where backup or recovery mechanisms are implemented, they should support the restoration of essential editorial records and publication files when necessary.

Access permissions and storage arrangements should be reviewed as appropriate to reduce the risk of unauthorized disclosure or loss of editorial information.

The journal will not claim that specific backup schedules, recovery targets, or preservation systems are in place unless those procedures have been implemented and can be verified.

7. Retention and Disposal of Records

JCB retains electronic records for as long as reasonably necessary to support editorial accountability, publication integrity, institutional requirements, and the management of the scholarly record.

Retention periods may differ according to the type of record, its relevance to the publication process, applicable legal or institutional requirements, and legitimate confidentiality or data-protection considerations.

When records are no longer required and may lawfully be disposed of, the journal will handle their disposal in accordance with applicable procedures and take reasonable steps to prevent unauthorized access or disclosure.

Published articles and their essential bibliographic records should remain accessible in accordance with the journal’s publication and preservation arrangements.

8. Electronic Communication

The journal uses OJS notifications and official editorial communication channels to communicate with authors, reviewers, and other relevant parties.

Individuals participating in the editorial process are expected to use the designated channels appropriately and to protect confidential information when transmitting files or discussing manuscripts.

Authors and reviewers should ensure that their contact details remain accurate and that important editorial communications can be received in a timely manner.

9. Responsibilities of Authors, Reviewers, Editors, and Journal Staff

All individuals participating in the JCB publication process share responsibility for the appropriate handling of electronic records.

Authors must submit accurate files, protect confidential information, provide requested documents, and ensure that their submissions comply with the journal’s policies.

Reviewers must handle manuscripts and review materials confidentially and must not distribute or use unpublished information without authorization.

Editors must maintain appropriate records of editorial decisions, manage access to confidential information, and ensure that the editorial workflow is documented adequately.

Journal staff and technical administrators must handle files and system access in accordance with their assigned responsibilities and applicable institutional procedures.

10. Electronic Records and Publication Integrity

Electronic filing supports the traceability and accountability of the journal’s editorial and publication activities. JCB seeks to maintain records sufficient to support appropriate editorial review, resolution of publication-ethics concerns, and verification of publication information when necessary.

If an issue arises involving the integrity, authenticity, or handling of an electronic record, the journal may examine the available documentation and take appropriate action in accordance with its editorial policies and institutional procedures.

11. Commitment to Responsible Electronic Management

Jurnal Computech & Bisnis (JCB), published by STMIK Mardira Indonesia, is committed to managing electronic records responsibly and consistently.

The journal will periodically review its electronic filing practices to support the confidentiality, accessibility, traceability, and integrity of editorial records and published content. These practices form part of the journal’s broader commitment to transparent editorial governance and responsible scholarly publishing.
