Electronic Filing

Informatics Management, Engineering and Information System Journal (IMEISJ) implements an electronic filing system to manage, store, preserve, and provide access to scholarly manuscripts and published articles. The journal uses the Open Journal Systems (OJS) platform to support the electronic submission, editorial management, peer-review process, publication, and archiving of scholarly content.

1. Electronic Manuscript Submission and Management

All manuscripts submitted to IMEISJ must be uploaded electronically through the journal’s official OJS platform. Authors are required to register or log in to the system and follow the submission guidelines provided by the journal.

The OJS platform is used to manage manuscript files and associated editorial records throughout the publication process, including initial submission, editorial assessment, peer review, revision, acceptance, and publication.

Authors must submit the main manuscript in Microsoft Word format (.doc or .docx) using the official IMEISJ manuscript template. Additional supporting documents, when required, must be submitted electronically in the formats specified by the journal.

2. Electronic Storage and Record Management

IMEISJ maintains electronic records of submitted manuscripts, revised versions, editorial decisions, reviewer reports, author correspondence, and final published articles within its journal management system.

Access to editorial records is managed according to user roles and responsibilities. Manuscripts and confidential editorial communications are handled in accordance with the journal’s publication ethics, confidentiality, and privacy policies.

The journal seeks to maintain accurate, organized, and retrievable electronic records to support editorial accountability and the integrity of the scholarly publication process.

3. Digital Archiving and Preservation

IMEISJ is committed to maintaining the long-term availability and accessibility of its published scholarly content.

The journal maintains electronic copies of published articles and associated publication metadata. Appropriate backup and preservation procedures should be implemented to reduce the risk of data loss caused by technical failures, accidental deletion, or other unforeseen incidents.

Where available and appropriate, the journal may use recognized digital preservation services or institutional archiving arrangements to support the long-term preservation of its publications.

Any digital preservation services or external archiving arrangements used by the journal will be identified transparently on the journal’s website.

4. Data Security and Confidentiality

IMEISJ takes appropriate measures to protect electronic manuscript files, editorial records, user information, and confidential communications.

Access to the OJS system is restricted according to assigned user roles. Editors, reviewers, authors, and journal administrators are expected to use the system responsibly and maintain the confidentiality of information accessed during the editorial process.

The journal’s electronic filing practices are intended to support the integrity, confidentiality, and appropriate use of information throughout the publication workflow.

5. Access to Published Articles

Published articles are made available through the official IMEISJ website in accordance with the journal’s open-access policy and applicable licensing terms.

Article landing pages and downloadable files are maintained to facilitate access, citation, and scholarly dissemination. Publication metadata, including article titles, author names, abstracts, keywords, publication details, and Digital Object Identifiers (DOIs), are managed to support the discoverability and identification of published research.

6. Backup and System Maintenance

The journal should maintain appropriate procedures for backing up its OJS database, published article files, and essential editorial records.

Backup schedules, storage arrangements, and restoration procedures should be reviewed periodically to ensure that the journal can recover essential information in the event of technical disruption or data loss.

The journal also encourages regular system maintenance, software updates, access-control reviews, and monitoring of system performance to support the continuity and reliability of its electronic publication services.

7. Responsibility for Electronic Filing

The journal management team is responsible for overseeing the implementation of electronic filing procedures, maintaining the organization of publication records, and coordinating appropriate preservation and backup measures.

Authors are responsible for submitting complete and accurate manuscript files. Editors and reviewers are responsible for handling manuscript files and editorial information in accordance with their assigned roles and the journal’s confidentiality requirements.

IMEISJ is committed to maintaining a reliable electronic publication environment that supports transparency, accountability, research integrity, and the sustainable dissemination of scholarly knowledge.
