Informatics Management, Engineering and Information System Journal (IMEISJ)
1. Open Access Policy
Informatics Management, Engineering and Information System Journal (IMEISJ) provides open access to its published articles to support the dissemination of scientific knowledge and promote the global exchange of research findings.
All published articles are freely accessible to readers immediately upon publication through the journal’s official Open Journal Systems (OJS) website. Readers may access, read, download, and use published articles in accordance with the applicable copyright and licensing terms stated on the journal website and in each published article.
IMEISJ does not require readers to register, subscribe, or pay a subscription fee to access published articles. The journal is committed to ensuring that its published scholarly content remains accessible to the academic community, researchers, practitioners, and the general public.
2. Access through the Open Journal Systems (OJS) Platform
The official OJS platform serves as the primary system for manuscript submission, editorial management, peer review, publication, and access to published articles.
Through OJS, authors can submit manuscripts, monitor the progress of their submissions, respond to editorial decisions, and upload revised manuscripts when requested. Editors and authorized editorial team members use the platform to manage submissions, coordinate peer review, communicate with authors and reviewers, and maintain records of editorial decisions.
Published articles, including their bibliographic information and full-text files, are made available through the journal’s official website. The journal seeks to maintain accurate publication metadata and accessible article files to facilitate discovery, citation, and scholarly use.
Access to editorial functions and non-public manuscript files is restricted to authorized users according to their assigned roles and responsibilities within OJS.
3. Access to Manuscripts and Editorial Documents
IMEISJ distinguishes between publicly available published content and confidential documents generated or received during the editorial and peer-review process.
Published articles and their associated public metadata are accessible through the journal website. In contrast, submitted manuscripts that have not been published, reviewer reports, editorial correspondence, author declarations, similarity-check reports, and other confidential editorial documents are accessible only to authorized individuals for legitimate journal-management purposes.
The journal maintains the confidentiality of unpublished manuscripts and does not disclose them to unauthorized persons. Access to confidential documents is limited to the relevant editorial personnel and other authorized parties, subject to their responsibilities and applicable confidentiality requirements.
4. Google Drive for Internal Document Storage
In addition to the OJS platform, IMEISJ may use Google Drive as a supplementary repository for securely storing and organizing editorial documents, including submitted manuscript files, revised manuscripts, similarity-check reports generated through Turnitin, editorial records, and other documents required for publication management.
Google Drive is used to support document organization, internal coordination, recordkeeping, and continuity of editorial operations. It does not replace OJS as the journal’s primary manuscript-management and publication platform.
Access to files stored in Google Drive is restricted to authorized editorial personnel and other individuals who require access to perform their assigned duties. The journal applies appropriate access permissions and sharing settings to prevent unauthorized access, disclosure, alteration, or distribution of confidential documents.
Confidential manuscript files and Turnitin reports must not be shared through unrestricted public links. Access should be granted only to authorized recipients and, where appropriate, removed when the relevant editorial responsibility or purpose has ended.
The journal periodically reviews document access permissions and storage practices to support confidentiality, data integrity, and responsible management of editorial records.
5. Access to Turnitin Similarity Reports
IMEISJ uses Turnitin as a supporting tool to assess textual similarity in submitted manuscripts as part of its publication ethics and editorial screening procedures.
Similarity reports are treated as confidential editorial documents. Access is limited to authorized editors and other personnel assigned to conduct or support the manuscript assessment. Where necessary, relevant findings may be communicated to the corresponding author to clarify textual overlap or request appropriate revisions.
A similarity score is not, by itself, a definitive determination of plagiarism or research misconduct. Editors evaluate the report in context, considering the nature and source of the matched text, quotations, references, standard terminology, previously published material, and other relevant factors.
Turnitin reports are stored in a restricted-access Google Drive folder or another authorized storage location, subject to the journal’s document-management procedures. They are not made publicly available unless disclosure is justified, lawful, and consistent with applicable confidentiality obligations.
6. Public Access and Confidentiality
IMEISJ promotes broad access to published research while protecting confidential information obtained during submission, peer review, and editorial decision-making.
Open access to published articles does not mean unrestricted public access to unpublished manuscripts, reviewer identities, peer-review reports, Turnitin reports, author correspondence, or other confidential editorial records.
The journal follows the principles of confidentiality, responsible data handling, and role-based access when managing information through OJS, Google Drive, and other authorized systems.
7. Digital Preservation and Record Management
IMEISJ aims to maintain reliable access to its published articles and preserve essential editorial records for appropriate administrative, ethical, and scholarly purposes.
Published article files and metadata are maintained through the journal’s OJS platform. Internal editorial documents may be retained in authorized storage systems, including Google Drive, in accordance with the journal’s record-retention procedures and applicable legal or institutional requirements.
The journal periodically reviews its document-management practices to reduce the risk of accidental loss, unauthorized disclosure, or inappropriate modification of editorial records.
Any claim concerning external digital preservation services, automated backups, or long-term archiving arrangements will be made only when the relevant service or procedure has been implemented and verified.
8. Access and Data Protection Responsibilities
All editorial team members and other authorized users are responsible for handling journal documents appropriately and maintaining the confidentiality of information obtained through their roles.
Users must not download, distribute, reproduce, or disclose confidential documents for purposes unrelated to the journal’s editorial and publication activities without appropriate authorization.
IMEISJ will take reasonable administrative and technical measures to manage access permissions, protect confidential documents, and address suspected unauthorized access or disclosure in accordance with applicable institutional procedures.
9. Policy Review
This Access Policy is reviewed periodically to ensure consistency with the journal’s open-access commitments, OJS configuration, document-management practices, publication ethics, and applicable institutional requirements.
Any revisions to this policy will be published on the official IMEISJ website.
